
1. Bookings
| 1.1 | Venue space will only be held for 10 days for enquiries 30 days prior to the event. For enquiries inside 30 days of the event, venue space will only be held for three days or up until 48 hours prior to the event, whichever comes first. |
| 1.2 | A minimum deposit of $1000 will be requested no later than 10 days from the booking date along with a signed copy of the confirmation letter. Should the booking total be lower than $600, the deposit will be the amount of the booking and is requested to be paid in full prior to the event. |
2. Final Attendance and Payment
| 2.1 | Final payment representing the total cost less the deposit is due in full three working days prior to the event unless alternative arrangements have been made with the hotel by ways of credit card guarantee or credit facilities. |
| 2.2 | Should the client wish to pay by cheque, the client also agrees to pay the full amount 10 working days prior to the event. In the event where the function is less than five working days the client agrees to supply a credit card as a guarantee. |
| 2.3 | Direct Debits are to made payable to: |
| 2.4 | Final catering requirements and/or guests numbers are required five working days prior to the function. Charges will be based on these, or on final head count, whichever is greater, but not less than advised five days prior. Should your numbers increase or decrease, please advise us as soon as possible. |
| 2.5 | If numbers should reduce significantly within five days of the event, resulting in a smaller/alternative venue, the original venue hire cost shall apply. |
3. Public Holidays
| 3.1 | A 20% surcharge on the total account is applicable for public holidays and New Years Eve. |
| 3.2 | A labour surcharge is applicable for functions extending into a public holiday. |
4. Cancellations and Changes
We would be disappointed if your event was to be cancelled. However, we realise circumstances occasionally make this necessary. If the event is cancelled, the following conditions will apply:
| 4.1 | Notice Of 5 Working Days Or Less In the event of the cancellation made within five working days prior to the function and, or accommodation date, the organiser will be charged the total quoted price of the function. |
| 4.2 | Notice Within 6 - 14 Days Prior In the event of cancellation made within 6-14 days prior to the function, and or accommodation date, the organiser will be charged 50% of the total quoted price of the function |
| 4.3 | Notice Within 15 – 30 Days Prior In the event of cancellation made within 15-30 days prior to the function, and or accommodation date, the organiser will forfeit the deposit paid. |
| 4.4 | Assured Ascot Quays is not responsible for the cancellation of the event due to any reason beyond its reasonable control, including industrial dispute |
| 4.5 | Cancellations must be advised in writing. |
| 4.6 | We understand that you may need to change the date of your function. We will attempt to fit in with any changes of date where space is available. Your deposit will be rolled over for the new dates if the request is made more than 30 days before the original event dates booked |
| 4.7 | If the request for the new date is within 30 days of the original event date booked and the venue can not be resold, the organiser will forfeit the deposit paid. |
5. Pricing
| 5.1 | Whilst every endeavour will be made to maintain prices as printed, all prices are subject to alteration to allow for product availability and market cost variations. Goods and Services Tax is included in our pricing. |
| 5.2 | Prices are subject to an estimated 5% increase per annum. |
| 5.3 | A 3% surcharge applies for all credit card transactions. |
6. Food and Beverages
| 6.1 | As the premises are fully licensed, under no circumstances are function organisers or guests to supply their own food or beverages. |
| 6.2 | Bomboniere may be food however no alcoholic beverages |
| 6.3 | Wedding cake supplied by guest is excluded |
7. Function Hours
| 7.1 | Functions may begin at an agreed time, however music facilities must cease at midnight. |
8. Music levels
| 8.1 | All DJ's booked to perform at Assured Ascot Quays Apartment Hotel Apartment Hotel must abide by the Environmental Protection (Noise) Regulation of 1996. |
| 8.2 | Music levels in the function rooms may not exceed .80db. |
| 8.3 | Management request clients to book DJ's that will comply with these regulations. |
| 8.4 | Smoke machines are not permitted. |
9. Decorations
| 9.1 | Candles must be of good quality (non-drip and smokeless) |
| 9.2 | No item or display material is to be nailed, screwed, stapled or adhered to any surface of any part of the function rooms. |
| 9.3 | Confetti/rice/glitter and table scatters are not permitted on the premises |
10. Insurance and Damage
| 10.1 | The patron is financially responsible and agrees to indemnify Ascot Quays Apartment Hotel Pty Ltd trading as Assured Ascot Quays Apartment Hotel for all damage sustained to the hotel and its grounds during an event as an action of invitees and or guests of the organiser. This also applies to any damage caused during the event staying overnight in the hotel. |
| 10.2 | Although accidents often happen, damage to our function rooms can easily be prevented by good communication between your organiser and our team when arranging posters and displays. If necessary, repair or replacement charges may be passed on. No staples, sticky or masking tape, glues, pins, or velcro, or blu-tac or similar product to be used on the walls. |
| 10.3 | We are unable to accept any responsibility for damage or loss of property left in the hotel prior, during, or after an event, as the case may be. We recommend patrons arrange their own insurance. |
| 10.4 | If the room or rooms reserved herein cannot be made available to the patron for causes beyond the control of the hotel, the hotel reserves the right to substitute similar or comparable accommodation for the event, which substitute shall be deemed by the patron as full performance of the hotels obligations under the agreement. This applies to accommodation and function venues. Please note that function venues reserved during the days is subjected to reletting for the evening functions, unless alternate arrangements have been made. |
| 10.5 | For all events, all plans must be approved by Assured Ascot Quays Apartment Hotel Events Department in all matters of deliveries, set up and break downs. |
| 10.6 | External suppliers booked by the customer are liable for their own equipment, must have suitable insurance and provide Assured Ascot Quays with a copy of their insurance Certificate of Currency |
11. Other Functions
| 11.1 | The hotel reserves the right to book other functions in the same function room up to one hour before the schedule function commencement time and one hour after the scheduled function finishing time. Additionally the hotel reserves the right to book other functions in adjoining rooms at any time. |
12. Duty of Care
| 12.1 | Under the Liquor Licensing laws of Western Australia we have a duty of care to all our clients and reserve the right of our Duty Manager or suitably qualified employee to refuse service of alcohol to persons or the entire function he/she deems are intoxicated and may do harm to themselves or other patrons or property. |
| 12.2 | Persons under 18 years of age are not permitted to consume alcohol on the premises. |
13. Deliveries
| 13.1 | The hotel will only accept delivery of goods one working day prior to the event, and all goods must be collected within one working day after the event. All goods are to be delivered to the hotel between 0900-1630, Monday to Sunday, expect where a public holiday falls through the week. |
